Vendor Participation Guidelines
Free to Live Spring Community Fest
Thank you for your interest in participating as a vendor at our Community Event.
This event is designed to provide a safe, inclusive, and empowering environment for children, youth, and families. All vendors must align with the mission, standards, and expectations outlined below.
Submission of a vendor application does not guarantee acceptance. All vendors will be reviewed and notified upon approval.
Event Expectations
This is a family-friendly community event.
All vendors are expected to maintain professional and appropriate conduct at all times. Vendors must offer products and services suitable for children, teens, and families. Aggressive sales tactics or inappropriate messaging are not permitted. Vendors are required to remain set up and operational for the full duration of the event.
Approved Vendor Categories
Approved categories include youth services and enrichment programs, educational resources, mental health, wellness, and support services, nonprofit and community organizations, kid-friendly retail such as books, toys, apparel, art, and crafts, licensed food vendors, family-friendly small businesses, and health and wellness vendors offering non-invasive services only.
Non-Approved Vendor Categories
The following categories are strictly prohibited: alcohol, tobacco, vaping, CBD, THC, or drug-related products; firearms, weapons, or weapon accessories; sexually explicit or adult-themed products or services; political campaigning or partisan advocacy; gambling or raffles without proper authorization; and any vendor promoting hate speech, violence, or discriminatory practices.
The event host reserves the right to deny or remove any vendor that does not align with the mission or values of the event. All vendors must comply with local, state, and federal laws.
Food Truck Vendor Requirements
Food truck vendors must provide a current Mobile Food Unit Permit specific to their operating city, their most recent health inspection report, Food Manager Certification, a Certificate of Insurance with a minimum of one million dollars in coverage, an Additional Insured endorsement, fire clearance documentation if applicable, and a signed Vendor Agreement.
All Vendor Requirements
All vendors must maintain appropriate business licenses and any required permits or certifications for the services they offer. Proof of insurance may be required depending on the nature of the business. Documentation may be requested prior to the event and must be submitted upon request.
Liability and Agreement
By submitting an application, you acknowledge and agree that you assume full responsibility for your booth, products, services, and staff. You release Free to Live, event organizers, volunteers, partners, venue owners, and affiliates from any liability, loss, or damages. You agree to indemnify and hold harmless the event host from any claims arising from your participation. You understand that the event host reserves the right to remove any vendor who violates event policies without refund.
